Refund & Cancellation Policy
Effective date: 12 June 2026
This policy outlines how to cancel your VantaBid subscription and under what circumstances refunds are available.
1. Subscription Model
VantaBid operates on a weekly auto-renewing subscription model. Your subscription begins after the free trial period ends and renews automatically each week on the same day unless cancelled. You are billed in advance for each subscription period.
2. Cancellation
You may cancel your subscription at any time through your account dashboard under "Billing Settings". Cancellation takes effect at the end of your current paid billing period — you will retain full access to the Service until that date. After cancellation your account reverts to a read-only state; new project creation and AI analysis will be disabled until a new subscription is activated.
To cancel, navigate to: Dashboard → Billing → Cancel Subscription. No cancellation fees apply.
3. Free Trial
New accounts receive a free trial period during which all features are available without charge. At the end of the trial, your nominated payment method will be charged the applicable subscription fee unless you cancel before the trial expires. Trial extensions are not available.
4. Refund Eligibility
Due to the nature of SaaS services and the immediate availability of AI processing resources, VantaBid operates a no-refund policy for subscription fees already charged, except in the following circumstances:
- Billing error: if you were charged incorrectly (e.g., double-charged, charged after cancellation was confirmed), we will issue a full refund for the incorrect charge within 5–10 business days.
- Service unavailability: if VantaBid experienced a verified outage affecting more than 24 consecutive hours during a paid billing period, a pro-rated credit or refund may be issued at our discretion.
- Statutory rights: where applicable consumer protection laws (including the Australian Consumer Law) provide a right to a refund, we will honour those rights.
5. How to Request a Refund
To request a refund, email billing@vantabid.com with your account email address, the invoice number, and a brief description of the issue. We aim to respond within 2 business days. Approved refunds are processed via Stripe back to your original payment method and typically appear within 5–10 business days depending on your bank.
6. Plan Changes
If future pricing plans are introduced, upgrading or downgrading between plans will be handled on a pro-rated basis. Detailed billing changes will be communicated in-app and via email before taking effect.
7. Account Reactivation
If your subscription lapses due to payment failure or cancellation, you may reactivate at any time by subscribing again through the dashboard. Project data is retained for 30 days after subscription expiry, after which it may be permanently deleted. We recommend exporting your data before your subscription lapses.
