Data Ownership Policy

All drawings, specification documents, reports, and project data ("Your Content") that you upload or generate within VantaBid remain your property. VantaBid does not claim any ownership rights over Your Content. You retain full intellectual property rights, including copyright, in all materials you submit to the platform.

To provide the Service, you grant VantaBid a limited, non-exclusive, royalty-free, worldwide licence to store, process, transmit, and display Your Content solely as necessary to operate the platform. This licence terminates when you delete the relevant project or close your account, subject to any legally required retention periods.

VantaBid will not use the specific content of your uploaded documents, drawings, or generated estimates to train AI models without your explicit, opt-in consent. Aggregated and fully anonymised usage metrics (e.g., "average number of BOQ line items per project") may be used for product analytics and research.

BOQ schedules, procurement lists, Word reports, Excel files, and any other AI-generated outputs derived from your uploaded content ("Generated Outputs") are owned by you. You may use, modify, distribute, and commercialise Generated Outputs freely, subject to the AI Output Disclaimer which advises independent professional review before reliance.

You may export your project data at any time:

• Excel BOQ: download from the project detail page.
• Word Report: download from the project detail page.
• AI Analysis Report: download from the project detail page.
• Full data export: request a complete JSON export of all your project metadata by emailing data@vantabid.com.

You may delete individual projects from the dashboard at any time. Deleted project data (including uploaded files and generated outputs) is permanently removed from our active systems within 30 days. Backups containing deleted data are purged within 90 days.

To delete your entire account and all associated data, contact data@vantabid.com. Account deletion is irreversible.

Your Content is processed by the following sub-processors bound by data processing agreements that restrict them from using your data beyond service delivery:

• Google Cloud (Gemini API): receives document and drawing files for AI analysis. Google's enterprise API terms prohibit use of submitted data for model training.
• MongoDB Atlas: stores project metadata and AI outputs. Data is encrypted at rest and in transit.
