AI Output Disclaimer & Reliance Policy

VantaBid is an artificial intelligence-powered construction estimating platform designed to assist users with the preparation of:

• Bills of Quantities (BOQs);
• Quantity Take-Offs;
• Procurement Schedules;
• Labour Estimates;
• Plant and Equipment Schedules;
• Work Breakdown Structures (WBS);
• Material Schedules;
• Construction Methodology Outputs; and
• Related estimating and tendering information.

The Service is intended solely as a productivity and estimating assistance tool and does not replace professional judgement, experience, site investigation, engineering review, quantity surveying review or commercial assessment.

All outputs generated by the Service ("AI Outputs") are created through automated processes using artificial intelligence technologies. AI Outputs may include information derived from:

• User-uploaded drawings;
• Plans and specifications;
• Construction standards and reference materials;
• Machine-learning models; and
• Automated interpretation and extraction processes.

AI Outputs are generated without human review by VantaBid and may contain errors, omissions, assumptions, misinterpretations or inaccuracies. AI Outputs are provided as a preliminary estimating aid only and must not be treated as final, certified, approved or professionally verified construction documentation.

The Service does not provide:

• Engineering advice;
• Quantity surveying advice;
• Construction advice;
• Design advice;
• Procurement advice;
• Financial advice;
• Legal advice; or
• Professional consulting services.

Nothing generated by the Service should be interpreted as professional advice. Users remain solely responsible for obtaining any professional advice required for their projects.

Users acknowledge that artificial intelligence technologies have inherent limitations, including but not limited to:

(a) Hallucinations

AI models may generate quantities, materials, specifications, assumptions, methodologies or recommendations that appear plausible but are incorrect or unsupported by project documentation.

(b) Incomplete Extraction

Drawings, plans, schedules, notes, annotations, legends, specifications and details may not be fully identified or extracted.

(c) Interpretation Errors

AI systems may incorrectly interpret symbols, scales, abbreviations, dimensions, notes, specifications or construction requirements.

(d) Drawing Quality Issues

Low-resolution, scanned, incomplete, damaged or poor-quality documents may impact extraction accuracy.

(e) Standards and Regulatory Changes

Australian Standards, industry codes, utility authority requirements, council standards and regulatory requirements change over time. VantaBid does not warrant that outputs reflect the latest applicable requirements.

(f) Quantity and Measurement Errors

AI Outputs may contain quantity discrepancies, measurement errors, scaling assumptions, conversion errors, waste factor assumptions or rounding differences.

(g) Site-Specific Conditions

AI systems cannot assess:

• Site access constraints;
• Latent conditions;
• Geotechnical conditions;
• Groundwater conditions;
• Traffic impacts;
• Environmental constraints;
• Existing services; or
• Other project-specific factors.

(h) Commercial Judgement

AI systems cannot assess contractor-specific productivity, procurement strategies, subcontractor pricing, risk allocation, market conditions or commercial decisions.

By using the Service, you acknowledge and agree that:

• (a) you are responsible for all decisions made using AI Outputs;
• (b) all AI Outputs must be independently reviewed and verified before use;
• (c) all quantities, procurement schedules, labour estimates, pricing assumptions and construction methodologies must be checked by appropriately qualified personnel;
• (d) you are solely responsible for determining whether AI Outputs are suitable for your intended purpose;
• (e) you assume all risks associated with relying upon AI Outputs; and
• (f) VantaBid does not assume responsibility for the accuracy or completeness of any AI Output.

AI Outputs must not be relied upon as the sole basis for:

• Tender submissions;
• Quotations;
• Contract pricing;
• Procurement decisions;
• Project budgets;
• Cost plans;
• Construction methodologies;
• Resource allocations;
• Contractual commitments; or
• Commercial decision-making.

Users must undertake independent review, validation and verification before relying on any AI Output.

Prior to use in any commercial, contractual, procurement, construction or regulatory context, users should undertake appropriate review processes, including:

• Quantity verification;
• Drawing review;
• Scope validation;
• Procurement review;
• Commercial review;
• Risk assessment;
• Standards compliance review; and
• Independent professional assessment where required.

VantaBid strongly recommends that all tender submissions and project estimates undergo review by appropriately qualified construction professionals before submission or implementation.

To the maximum extent permitted by law, VantaBid Pty Ltd and its directors, officers, employees, contractors, consultants and agents shall not be liable for any loss, damage, liability, claim, cost or expense arising from:

• (a) inaccuracies within AI Outputs;
• (b) omissions within AI Outputs;
• (c) reliance upon AI Outputs;
• (d) interpretation errors;
• (e) quantity discrepancies;
• (f) procurement errors;
• (g) tender errors;
• (h) estimating inaccuracies;
• (i) project overruns;
• (j) construction delays;
• (k) contract disputes;
• (l) loss of profit;
• (m) loss of revenue;
• (n) business interruption; or
• (o) any direct, indirect, incidental, consequential, special or punitive damages associated with use of the Service.

To the maximum extent permitted by law, AI Outputs are provided on an "as is" and "as available" basis. VantaBid makes no representation, warranty or guarantee regarding:

• Accuracy;
• Completeness;
• Reliability;
• Suitability;
• Fitness for purpose;
• Regulatory compliance; or
• Commercial suitability.

VantaBid does not warrant that AI Outputs will be error-free, complete or suitable for any particular project or purpose.

VantaBid continually seeks to improve platform accuracy, functionality and reliability. Users are encouraged to report significant errors, omissions or issues identified within AI Outputs to assist ongoing platform improvement. Feedback may be submitted to: admin@vantabid.com.

VantaBid may amend this Policy from time to time. Where changes are material, we will provide reasonable notice through email or within the Service. Continued use of the Service following the effective date of any revised Policy constitutes acceptance of those changes.
